Take a moment to think about what is the best way to setup your products to suit your art centre and artists needs before you setup new products. Below are some examples of some of the most common way to set up your products.
1. Single product with multiple variations at different price points, single artist attached.
Example: Handmade Jewellery with different prices, made by the same artist, using similar materials and styles.
Pros: Works well when the same artist regularly makes the same product and there are variations in size and, therefore, the sale price.
Cons: Doesn’t work if there are many artists making similar products, since setting up a product for each artist could be difficult to manage, or if an artist isn't regularly making the product.
It may be better to set up a product with multiple variations, but not attach the artist.
(See below: Single product with multiple price points, No artist attached.)
QR Display: Artist bio & photos displays on QR.
Label Display: Artist name.
Purchasing: A linked single artist can be paid as goods received or at POS (needs to be setup in product, before published) for the product when stock is added.
Considerations if you want to update your product setup as part of the SAM migration:
If you have duplicate products in the old SAM with different prices, before you onboard to the new SAM, consider merging the products with different price points into one product in the old SAM.
Once the data is migrated, you can add/edit variations and enter new prices and images for each variation.
Important note: Be sure you're happy with the variation name, as you cannot rename or delete it in the new SAM.
To merge products in old SAM, go to Admin > Merge Products
2. Single product with multiple price points, no artist attached.
(Multiple artists can be selected at purchase to add stock and pay the artist.)
Example: Boabs with different prices, made by lots of different artists, uses similar materials and styles.
Pros: Easy to manage when you have a high number of artists making the same product, and you don't need to identify individual items with the artist who made it. Works well if you don't want to label the product with the artist's name.
Cons: No artist is listed on individual products of a specific artist. You can include artists' names in stories or details as general information manually if desired.
QR Display: No artist displays on QR. Unless manually added to the story text or details.
Label Display: Product title, no artist listed.
Purchasing: Multiple Artists can be selected and paid when goods received as stock is added.
Considerations if you want to update your product setup as part of the SAM migration:
If you have duplicate products in old SAM, with different prices. Before you onboard to new SAM. Consider merging the different price point products into one product in old SAM. Create variations for each size/price point and assign stock.
Important Note: Be sure you're happy with the variation name, as you cannot rename or delete in the new SAM, or add variations and stock in the new SAM. Update the price of variations in the new SAM.
3. Single product with artists listed as variations (not attached), multiple price points.
(Multiple artists can be selected at purchase to add stock and pay the artist.)
Example: Boabs made by a few different artists, which sell for different prices, use similar materials and styles. You want to be able to identify the artist on the label.
Pros: Flexible when a few artists are making similar items, with varying quality. Still allows you to identify what was made by what artist. Works best when a smaller number of artists are involved, and product quality varies, so you want to set different prices and make them bespoke.
Cons: Potentially, you end up with multiple variations of the same name at different prices. It can get messy quickly and be time-consuming to set up, as you need to go into product, add variation, then come back out and add stock via purchasing. The variation list could be quite long. Only do it if it's just a few artists.
QR Display: Artist bio doesn't display on the QR code. You can set up and add an artist's photo to the variation, along with their name, which will display on the QR code if desired.
Label Display: The artist's name can be printed on the label by printing variation.
Purchasing: Multiple Artists can be selected and paid when goods are received, and stock is added.
Considerations if you want to update your product setup as part of the SAM migration:
If there are multiple price-point products of the same product in old SAM, they don’t have much stock, and there are lots of them. Best to merge all different price point products in old SAM just prior to migration. Create variations for each size/price point and assign stock.
Important Note: Be sure you're happy with the variation name, as you cannot rename or delete it in new SAM. Then, once transferred, change the prices of variations within a single product.
4. One product with a single price point.
(Option to add artist as variation name if desired/known)
Example: Punu - lots of different artists, making similar items. Set each product up as one price point. Create a new product for different price points.
Pros: Ideal and easy to manage when you have a high number of artists making the same product. You have set price points. And you want to identify individual products by maker, without creating individual products for each artist.
Cons: The artist is not attached to the product, so there's no bio. Can't have individual photos of items.
It could end up with a lot of variations. Need to be careful to manage too many variables and too many artists.
QR Display: No artist bio displays on QR. You can set up and add artist photo to variation and their name, which will display on QR if desired.
Label Display: The artist's name can be printed on the label by printing variation.
Purchasing: Multiple Artists can be selected and paid when goods received as stock is added.
Considerations if you want to update your product setup as part of the SAM migration:
If currently set up with multiple artists attached, it can be migrated over as is. All artists attached will be removed, but variation names will stay - so leave these as artist name.
Important Note: Be sure you're happy with the variation name, as you cannot rename in new SAM or delete it. Naming a variation does not link to the artist's bio or the artist's account.
